Privacy Policy

Dynamo Volleyball, Inc., operating as Dynamo Volleyball Club (“Dynamo,” “we,” “us” or “our”), operates the Dynamo Summer Camp Invoicing App. This is a private, internal application used to support Dynamo’s registration and invoicing processes.

This Privacy Policy explains what information the application processes, why it is used and how it is protected.

1. Purpose of the application

The Dynamo Summer Camp Invoicing App connects authorized Dynamo registration spreadsheets with Dynamo’s QuickBooks Online account.

The application is designed to:

  • Review summer camp registration information.

  • Match an athlete with an existing QuickBooks customer.

  • Create a new QuickBooks customer when necessary.

  • Check whether a corresponding invoice already exists.

  • Create an unsent invoice when no matching invoice is found.

  • Record invoice status and identifying information in Dynamo’s registration spreadsheet.

The application is not offered for public use and is only accessible to individuals authorized by Dynamo.

2. Information we process

The application may process the following information:

  • Athlete first and last name.

  • Selected camp, session and registration type.

  • Parent or guardian name.

  • Parent or guardian email address.

  • QuickBooks customer and invoice information.

  • Invoice number, invoice status and internal transaction identifiers.

  • Technical records required to operate, secure and troubleshoot the application.

Because Dynamo’s programs serve youth athletes, some of the information processed by the application relates to minors. Dynamo uses this information only for legitimate registration, communication, accounting and program-administration purposes.

3. How information is used

Information processed through the application may be used to:

  • Administer summer camp registrations.

  • Create and maintain accurate customer records.

  • Prepare invoices.

  • Prevent duplicate invoices.

  • Maintain Dynamo’s accounting records.

  • Resolve registration or billing questions.

  • Troubleshoot or improve the application.

  • Meet legal, tax, accounting and regulatory obligations.

The application does not automatically email invoices. Invoices are reviewed and sent separately by an authorized Dynamo representative.

4. Service providers

The application relies on third-party services, including:

  • Google Workspace and Google Apps Script for registration records and application operation.

  • Intuit QuickBooks Online for customer, invoice and accounting records.

  • Wix for hosting Dynamo’s public website and this Privacy Policy.

These providers process information according to their own terms and privacy practices. Information may be stored or processed outside Manitoba or Canada, depending on the infrastructure used by these service providers.

Dynamo does not sell personal information or provide it to third parties for advertising purposes.

5. Information retention

Dynamo retains registration and accounting information for as long as reasonably necessary to:

  • Administer the relevant program.

  • Maintain accurate business and accounting records.

  • Respond to questions or disputes.

  • Meet legal, tax and regulatory requirements.

Technical records may be retained for a shorter period unless they are required for security, troubleshooting or legal purposes.

6. Security

Dynamo uses reasonable administrative and technical safeguards intended to protect information from unauthorized access, disclosure, alteration or loss.

Access to the application, registration spreadsheet and QuickBooks account is limited to authorized individuals. However, no electronic system can guarantee complete security.

7. Access, correction and deletion requests

Parents, guardians and other individuals may contact Dynamo to ask about personal information held through this process or request that inaccurate information be corrected.

Deletion requests will be considered subject to Dynamo’s legal, accounting and operational retention obligations.

8. Changes to this policy

Dynamo may update this Privacy Policy if the application, its service providers or its information practices change. The updated version will be posted on this page with a revised “Last updated” date.
